Crew Collecting Payment On-Site

What the crew lead sees in the app, how to record cash and check payments, and the confirmation flow when money changes hands on the job.

Some customers pay after the move — cash, check, or card right there on the job. As a crew lead, you’re the one collecting and recording it. Here’s how it works in the MoveRight crew app.

How crew leads record on-site payments in the MoveRight crew app, including cash, check, and card payments.

Who uses this

Crew leads — you handle the money. Crew members — you might assist, but the crew lead is responsible.

In the crew app

When a job is complete and the customer is ready to pay:

  1. Open the MoveRight crew app on your phone
  2. Find the current job
  3. Tap Record Payment

You see a screen with:

  • The invoice total
  • The deposit already collected (subtract this from what’s owed)
  • The balance due
  • A form to enter payment details

Cash payments

  1. Select Cash as the payment method
  2. Enter the amount received
  3. The app shows “Change due: $X” if the customer overpays
  4. Tap Confirm Payment
  5. The customer gets a receipt by text or email

Always count the cash in front of the customer. Both of you should agree on the amount before you confirm.

Check payments

  1. Select Check as the payment method
  2. Enter the check number (from the top of the check)
  3. Enter the amount
  4. Tap Confirm Payment
  5. The customer gets a receipt

Take a photo of the check with your phone before you leave. If the check bounces, you have the image for your records. (This is extra caution — not a MoveRight feature, just good practice.)

Card payments

If your company uses Square with a mobile card reader:

  1. Select Card as the payment method
  2. Connect the Square reader (bluetooth)
  3. Swipe, dip, or tap the customer’s card
  4. Confirm the payment in the Square app
  5. Return to MoveRight crew app and tap Confirm Payment

If your company uses a payment link instead:

  1. In the crew app, tap Send Payment Link
  2. The customer gets a text with a secure link
  3. They enter their card info on their own phone
  4. MoveRight records the payment when it processes

The confirmation flow

After recording any payment, the crew app shows:

  • Payment confirmed — the amount, method, and timestamp
  • Receipt sent — the customer gets a text/email receipt

If you don’t see “Payment confirmed,” the payment wasn’t recorded. Try again. Don’t leave the job site without a confirmed payment record.

End of day

When you return to the office (or before you go home):

  1. Hand over any cash or checks to the office manager or owner
  2. Verify the totals match what’s recorded in MoveRight
  3. If there’s a mismatch, resolve it now — not tomorrow

Common questions

What if the customer can’t pay the full amount? Record the partial payment. The remaining balance stays on the invoice. Let the office know: “Customer paid $500 cash on a $1,200 invoice. Balance of $700 remaining.”

What if the customer wants to pay by card but we don’t have a reader? Send them the payment link from the crew app. They can pay on their own phone.

Can I give change for cash? Yes, but carry small bills. The crew app calculates change for you. Don’t make change from your own wallet — pull from the cash the customer gave you.

What if there’s no cell service? The crew app works offline. Record the payment, and it syncs when you’re back in range. Just make sure you confirm the payment before leaving the site — the app saves it locally.
