User Roles and Permissions

What each role can see and do in MoveRight — creating users, assigning roles, and understanding permission levels.

MoveRight uses role-based access control — each user sees only what they need for their job. This guide explains what each role can access, how to create users, and how to manage permissions.

The 8 roles in MoveRight, what each can see and do, and how to add, edit, and deactivate users.

Who uses this

Owners — you create and manage users. Sales managers — you can view the team roster (but not change roles, depending on your permissions).

Creating a new user

  1. Go to Settings → Users → Add User
  2. Enter their name and email address
  3. Select their role from the dropdown
  4. Click Send Invite

The new user gets an email with a link to set their password. They’ll have access to MoveRight as soon as they log in.

Editing a user

  1. Go to Settings → Users
  2. Click on the user’s name
  3. Change their role, name, or email
  4. Click Save

Role changes take effect immediately. If you demote a Sales Agent to a Crew Member, they lose access to the pipeline right away.

Deactivating a user

When someone leaves your company:

  1. Go to Settings → Users
  2. Click on the user’s name
  3. Click Deactivate

Deactivated users cannot log in but their historical data (calls logged, estimates sent) stays in the system. This is important — you want the audit trail even after they’re gone.

Do not delete users. Deleting a user removes their activity history from reports. Deactivate instead.

What Owners can do that others can’t

  • Access billing and subscription settings
  • Create, edit, and deactivate users
  • Change company settings (branding, service area, default terms)
  • Configure integrations (phone, QuickBooks, payment gateways)
  • View all reports including financial and marketing dashboards

What Sales Managers can do that Sales Agents can’t

  • View all agents’ pipelines (not just their own)
  • Reassign leads between agents
  • View team activity reports (calls made, close rates)
  • Export pipeline data

What Dispatchers can do that others can’t

  • Access the dispatch board and crew availability
  • Assign and reassign crews and trucks
  • Send crew notifications
  • Update job status in real time

What crew can do in the app

Crew leads and crew members use the MoveRight crew app (mobile only). They can:

  • View assigned job details (address, access notes, special items)
  • Update job status (En Route, Arrived, In Progress, Completed)
  • Record on-site payments (cash, check)
  • Add job notes and photos

They cannot access the main MoveRight web interface, pipeline, estimates, reports, or settings.

Common questions

Can I create a custom role? MoveRight’s roles cover the standard moving company org chart. Custom roles aren’t available yet. If you need a hybrid role (someone who both sells and dispatches), assign them the higher-permission role (Sales Agent) and give them the dispatch link directly.

What if someone needs temporary access? Create a user for them and deactivate when they’re done. This is common for seasonal or temporary workers.

Should the owner be the only one who can change settings? Yes. Limit settings access to the Owner role. Even Sales Managers shouldn’t be able to change pricing or company info without the owner’s involvement.
